The Legal Department of **MEMBERS ONLY**SIGN UP NOW***. has an opening for an Operations Manager in the Birmingham, Alabama corporate office to support the Chief Legal Officer and to manage administrative staff, and the day-to-day operations of the Legal Department. This role will report directly to the Chief Legal Officer and will be indirectly managed by a Senior VP, Sr. Counsel. The ideal candidate will have prior management experience in a legal setting, a team-oriented approach to management, and exceptional communication and organization skills.
Responsibilities include:
Staff Management
Manage the Legal Department's administrative team including assistants, paralegals, and other administrative team members
Team attendance and PTO scheduling
Quarterly performance reviews, goals, and 1:1 team member meetings
Assess staffing needs, including workload allocation
Interview candidates for administrative staff position openings
Onboard new team members
Enforce Company and Legal Department policies and guidelines
Identify and schedule team training opportunities
Support existing and implement new team engagement opportunities
Operations Management
Improve Department efficiency
Use of conference rooms and supplies
Document management
Overall business processes of the team
Communicate to and on behalf of the Legal Department
Company intranet site updates
Team announcements and updates
Coordinate Legal Department events
Manage, prepare and update Legal Department Budgets
Document Management
Oversee maintenance of the Legal Department Library
Manage relationship with offsite document storage vendors
Monitor the Legal Department's adherence to the Company's document retention schedule
Systems Management
Serve as the Legal Department's liaison to systems vendors including Westlaw/Practical Law, Lexis, DM, PLI, and Legal Tracker
Ensure upgrades to systems are installed
Arrange for training as appropriate
Assist with budgeting/invoicing
Periodically assess effectiveness of systems for the Legal Department
Stay abreast of new tools introduced to market that may improve Legal Department operations
Participate in due diligence for new software considerations
Monitor ITSS Communications and respond as appropriate
Support For Chief Legal Officer
Coordinate preparation of Legal Tracker reports
Assist in the preparation of team meeting agendas
Participate in preparing and monitoring adherence to the Legal Department budgets
Conduct research as requested
Assist in the review of outside counsel performance and expenses
Qualifications include:
Prior management of staff, preferably in a law practice or corporate legal department
10 years of work experience, preferably in a law practice or a corporate legal department
Knowledge of information systems- Westlaw, Lexis, DM and Legal Tracker
Demonstrated project management
Budget management
Ability to effectively delegate duties
Exceptional written and verbal communication
